How do you take an order on WhatsApp without losing the address?

Short answer

A shippable WhatsApp order needs the item and quantity, the customer’s name, the full delivery address including town, a contact number for the courier, and the amount to collect including delivery. Missing any of these means going back to the customer later, which is where orders are lost.

Ask any shop owner where WhatsApp orders go wrong and the answer is the same: the address. The customer says "yes I want it", the shop says "great", and nobody writes down where the parcel goes.

Ask for it in one message, not six

A back-and-forth interrogation loses people. One friendly line asking for name, address and number gets the lot in a single reply, and most customers send it exactly like that.

Take whatever the customer has already said. If they mentioned "Colombo 05" earlier in the chat, do not ask again — asking twice makes the shop look like it was not listening.

Then confirm the number out loud

Repeat the items, the delivery charge and the total to collect back to the customer. It takes one line, and it prevents the two arguments that actually happen at the door: the wrong item and the wrong amount.

Common questions

Should the delivery fee be included in the order total?

For cash on delivery, yes — the shop needs to know the exact amount the courier should collect. Recording only the goods total means losing the delivery fee or disputing it at the door.

What if the customer will not give an address?

Capture the order anyway and flag it as incomplete, then follow up. An order marked "no address yet" is visible and recoverable; one lost in a chat thread is not.
